Switching from Wild Apricot?
Bring your organization across — honestly
A lot of orgs stay on a tool they've outgrown because moving feels risky. So here's the straight version: what transfers cleanly, what only partly transfers, and the one thing no membership platform can move for you. No fine print, no surprises after you commit.
What comes across from Wild Apricot
Over-promising a migration is the fastest way to lose the trust of someone who's already been burned. So we'd rather set expectations to exactly this.
| Your data | Status | What that means |
|---|---|---|
| Members & contacts (with custom fields) | Transfers | The core of the import. The wizard maps your fields for you. |
| Membership levels, groups, families | Transfers | Your structure is recreated as you import — families stay families. |
| Payment, invoice & donation history | Transfers | Brought across as historical records, tagged as imported — never re-charged. |
| Events & registrations | Transfers | Imported as historical event and registration records. |
| Uploaded files & images | On the roadmap | Automated file pull is on the roadmap with our Wild Apricot tooling; at launch, files you export are re-uploaded by hand. |
| Website pages & content | On the roadmap | Automated content migration is on the roadmap; at launch, pages are rebuilt in MapleGather. |
| Stored payment methods / auto-renew | Doesn't transfer | Cards cannot transfer between systems — see below. This is a payment-industry rule, not our limit. |
| Automation rules & email templates | Doesn't transfer | There's no export path for these; they're recreated in MapleGather (the walkthroughs help). |
The honest part
Stored cards can't move — here's how we handle it
No membership platform can transfer your members' saved credit cards to a new system — payment-industry security rules keep card details locked to the processor that stored them. Anyone who tells you otherwise is glossing over it.
What MapleGather does instead: your members re-enter their card once, through a secure link, and their auto-renew picks up from there. A payment-method re-collection campaign that runs this for you as part of the switch is on our near-term roadmap; today, members update their card from their own portal in a minute. Either way, you'll know exactly where every member stands.

Short clip coming soon
A member clicking their claim-account link, setting a password, and landing in their new portal.
Your members won't be left stranded
Once your data is in, MapleGather's claim-account broadcast emails every member a secure link to set up their login, check their profile, and step into their new portal. You watch the progress from an admin dashboard and nudge anyone who hasn't logged in yet. It's the part of switching that usually turns into a pile of "I can't log in" emails — and it's built in, so it doesn't land on you.
You won't be doing it alone
In-app chat and email support are on every plan and every trial — no tier to buy first, and no sales call required to get started. If you get stuck mid-import, help is a message away.
